Privacy Policy
Volpex AI ("Volpex", "we", "us") provides software that adds real-time scene understanding to existing CCTV systems, giving security operators and site teams plain-language situational awareness. This policy explains what information we process, why, and the choices available to you. It applies to our website, our product, and conversations with prospective customers.
1. Who we are

2. Information we process
We process two distinct categories of information:
a. Website and business contact data
- Name, work email, company, and role when you contact us or request a demo.
- Basic analytics such as pages viewed, device type, and approximate location (from IP).
- Communications you send to us via email or scheduling tools.
b. Customer deployment data
- Video from the customer's existing cameras, processed on a device installed at the site to generate situational-awareness signals. Detection runs on-site at the edge, and only limited triggers are sent on for further analysis.
- Derived metadata (e.g. event timestamps, zone identifiers, alert descriptions, and voice or message prompts delivered to operators).
- Operational logs needed to keep the service reliable and secure.
We carry out behavioural analysis only. We do not perform facial recognition or any biometric identification. For deployment data, the customer (the site operator, or the security firm or installer-monitor acting on their behalf) is the data controller and Volpex acts as a data processor under a written agreement. We do not sell footage and do not use it to train third-party models.
3. How we use information
- To provide, secure, and improve the Volpex product.
- To respond to enquiries and arrange demonstrations.
- To send service updates and, with consent, occasional product news.
- To meet legal, accounting, and regulatory obligations.
4. Legal bases (UK GDPR)
- Contract — to deliver our services to customers.
- Legitimate interests — to operate, secure, and promote our business.
- Consent — for marketing emails and non-essential cookies.
- Legal obligation — where required by law.
5. Sharing
We share information only with vetted sub-processors needed to run the service (cloud hosting, analytics, email delivery, support tooling). Each is bound by contractual confidentiality and security obligations. We do not sell personal information.
6. Where data is processed and international transfers
Customer deployment data is processed in the United Kingdom. Detection runs on the device at each site, and vision language model inference runs in UK-only cloud infrastructure (Google Cloud, London region).
For website and business contact data, some of our sub-processors (for example analytics or email delivery) may process data outside the UK or EEA. Where that happens, we rely on appropriate safeguards such as the UK International Data Transfer Addendum or Standard Contractual Clauses.
7. Retention
Business contact data is kept while there is an active relationship and for a reasonable period afterwards. Customer deployment data is retained according to the retention window set in the customer agreement; defaults are short and configurable.
8. Security
We apply technical and organisational measures including encryption in transit, least-privilege access controls, audit logging, and regular review. No system is perfectly secure, but we work to keep risk low and respond promptly to any incident.
9. Your rights
Depending on your location, you may have rights to access, correct, delete, port, or restrict the processing of your personal information, and to object to certain uses. To exercise these rights, email info@volpex.ai. You can also lodge a complaint with the UK Information Commissioner's Office (ico.org.uk).
10. Cookies
We use a small number of cookies to keep the site working and to understand aggregate usage. You can control cookies through your browser settings.

We may update this policy from time to time. Material changes will be highlighted on this page, with the "last updated" date revised accordingly.
